Job Description

The Basics:

Tanium is looking for a Workplace Coordinator to be the face of our Tokyo Headquarters Office located in the Tokyo Torch Tokiwabashi Tower in the Otemachi prefecture. This role is office based during normal business hours. The Workplace Coordinator – Tokyo will be responsible for all onsite tasks required to keep the office running smoothly and at the highest quality. This includes all onsite vendor management for lunch and snack operations, system maintenance, IT/AV support, and mail service. This role will act as the onsite point of contact for Corporate Security to ensure access controls are working appropriately. This candidate must have great communication skills and focus on best in class customer service for our onsite employees. The Work Coordinator will be the main point of contact for the Tokyo Office landlord and report any significant issues to the Administrative Operations Generalist – APAC & the Sr. Mgr. Global Real Estate & Workplace. This role must be able to support a variety of stakeholders both locally and abroad to support their needs.

What you’ll do:

  • Ensure the facility is running smoothly in all aspects with limited day to day guidance from your leadership
  • Ensure that the office is kept tidy and presentable for staff and visitors
  • Follow office health and safety protocols
  • Assist with onboarding and offboarding tasks for incoming and outgoing employees ensuring they have access to office tools
  • Perform all day-to-day support of this location
  • Manage vendor relationships, office supplies, office equipment, and overall office appearance autonomously
  • Field maintenance and service requests: Coordinate repairs with building engineers and various vendors
  • Support administrative processing and billing for office expenses
  • Manage food program at this location: Work with vendors to ensure kitchen supplies, snacks, and beverages are stocked daily and lunch is delivered on schedule when applicable
  • Manage relationships with service providers and building management
  • Fulfil all mail and shipping requirements at this location: Pickup, sort, & distribute incoming mail daily, prepare & ship outgoing mail including opening and scanning for HQ related mail
  • Support onsite events including set up, tear down, coordinate with vendors and internal staff to ensure event success
  • Coordinate with Property Management and Tanium Security to provide badge access as needed.
  • Support onsite customer briefing setup
  • Accomplish miscellaneous tasks under the direction of Sr. Manager of Global

We’re looking for someone with:  

  • Education & Experience

    • BA/BS and/or equivalent work experience required.
    • 2+ years of relevant office management or administrative experience

    Preferred Qualifications

    • Ability to act autonomously in their daily tasks
    • Ability to complete tasks accurately and quickly under guidance of leadership
    • Ability to work with multiple stakeholders’ direction
    • Experience with vendor management
    • Experience with local office regulations
    • Experience with safety & emergency preparedness requirements
    • Prior office support experience in a fast-paced environment
    • Excellent verbal communication
    • Ability to keep up and adjust in a fast paced, ever changing work environment
    • Excellent computer skills - Office 365
    • Strong organizational skills
    • English speaker required
